Keeping records and managing money

Your group’s treasurer will need to keep income and expenditure details.

It's important to maintain an up-to-date membership list. Using the membership form will help you abide with the Data Protection Act for the information you collect, but you also need to be careful about how you use it.

You can keep a simple notebook with the date of your monthly meeting, speaker name and subject, number of members there and any decisions or significant news. You may also want to have people sign in as a record of who was there and keep a note of how popular the speaker was.

Managing your group's money

How much money you need to cover the expenses of running your group very much depends on what the group wants to do – and also on the size of the group. The more you do the more money you may need to raise.

Having a regular monthly meeting usually means you have to hire a room and provide a cup of tea and biscuit for everyone. Using speakers who don’t charge also helps to reduce costs.
